DOCUMENT COLLECTION & SIGNATURE

Everything you need from the customer, in one place they actually finish.

Send the credit application, the guarantee, the tax certificate and the bank mandate as one package. Watch it get opened. Get it back signed, with an evidence record attached to the credit file — no separate e-signature subscription.

THE PROBLEM

The application is not the hard part. Getting the rest back is.

The form comes back in three days. The financials arrive a week later, in an email to someone who has left. The personal guarantee is signed but not dated, or dated but not witnessed. The tax certificate is somewhere in a thread. Meanwhile the order is waiting and sales is asking. Nobody can say which customer is holding things up because nothing records whether they even opened it.

CAPABILITIES

What SCREDIT delivers

One Package, Not Six Emails

The application, the guarantee, the NDA, the KYC pack and the tax certificate go out as a single envelope. The customer completes one thing rather than reacting to a series of requests.

Ask for Files as Part of Signing

A document can request an upload the same way it requests a signature. The financial statements and the tax certificate arrive attached to the envelope, in the credit file, rather than in an inbox.

Know That They Opened It

Sent, viewed, partially filled, signed, declined — tracked per recipient. The difference between "they have not got to it" and "they opened it twice and stopped at the guarantee" changes which call you make.

Signing in the Order You Need

Route signers one after another or all at once, and require a set number from a group — two of three officers, say — where your policy calls for it.

Your Paper, Pre-Filled

Bring your own PDF, Word or HTML document, place the fields once, and reuse it. What SCREDIT already knows about the customer is merged in, so the customer is not retyping what you have.

Signed, With Evidence

Completion produces a Certificate of Completion: who signed, when, from what address and device, the consent they agreed to, and a SHA-256 fingerprint of the final document. It is the artifact you want if the guarantee is ever questioned.

No Separate Signature Vendor

This is part of SCREDIT, not an integration you license alongside it. One fewer subscription, one fewer vendor in procurement, and the signed document lands on the credit file instead of in another system.

OUTCOMES

What changes on the desk

Fewer Round Trips

One package, completed once, instead of a chase that runs for a fortnight.

You Know Where It Is Stuck

Per-recipient status tells you whether to send a reminder or pick up the phone.

A Guarantee That Holds Up

Signed with a recorded consent, a timestamp, an originating address, and a document fingerprint.

One Less Vendor

Signature capability that does not arrive as a separate line item or a separate security review.

Frequently asked questions

Do we still need a separate e-signature subscription?

No. Signature is built into SCREDIT rather than integrated alongside it, so there is no second subscription, no per-envelope limit to manage, and no separate vendor for procurement to review. The signed document and its evidence record land directly on the credit file. If your organisation has standardised on a particular e-signature provider and policy requires it, SCREDIT can route through an external provider instead — but nothing forces you to buy one.

Is an electronic signature legally binding for a personal guarantee?

Electronic signatures are generally enforceable in the United States under the ESIGN Act and UETA, and SCREDIT records the consent the signer agreed to — versioned, so you can tell which wording applied on a given date — alongside the timestamp, the originating address and device, and a SHA-256 fingerprint of the final document. That evidence record is what matters if a guarantee is ever challenged. This is not legal advice: your counsel should confirm what your jurisdiction and your paper require, particularly for guarantees, which sometimes carry additional formalities.

What exactly is on the evidence record?

A Certificate of Completion generated when the envelope finishes: the document title and template, the envelope identifier, its status and completion time, a SHA-256 hash of the final PDF, every signer with the signing rule that applied to their role, any attachments, and the full event history — created, sent, viewed, filled, signed, reminded, completed — each with its timestamp, originating IP address and device. It is a self-contained PDF you can hand to an auditor.

Can we collect documents as well as signatures?

Yes, and this is usually the bigger time saving. A file upload can be a required field in the envelope, exactly like a signature or a date. The customer attaches the financial statements, the W-9, the resale certificate or the insurance certificate as they complete the pack, and those documents arrive against the credit file rather than as a reply to whichever email address they happened to have.

What if two officers need to sign, or any two of three?

Both are supported. Signers can be routed in sequence — each one after the previous completes — or in parallel, and a role can carry a quorum, so a document releases once the required number of signatures from that group is in. The rule that applied is printed on the evidence record, so it is clear afterwards why the document released when it did.

Can we use our own documents, or do we have to use your templates?

Your own. Bring a PDF, a Word document, or HTML, place the fields where they belong once, and reuse it as a template — versioned, so a change to your paper does not rewrite the history of documents already signed. Data SCREDIT already holds about the customer is merged in, so the applicant is not retyping their own address back to you.

Does the customer need an account to sign?

No. Signing is reached through a secure invitation link, so an external signer — a customer, an officer providing a guarantee, a third party — completes their part without creating an account or being provisioned. Where a customer does use the SCONNECT portal, the same documents appear there alongside their statements and invoices.

See a credit application go out and come back signed.

Bring your current application pack — application form, guarantee, whatever else you chase — and we will show you the same documents going out as one envelope and returning with an evidence record.
